"5,000 Emails a Day" Doesn't Mean What Most Shopify Merchants Think It Means

Emails leaving a laptop. The bulk sender count includes everything your domain sends to Gmail in a day, not just campaigns.

Gmail's bulk sender rule applies to any domain that sends close to 5,000 or more messages to personal Gmail accounts in a 24-hour period. It counts everything sent from your domain to Gmail that day, campaigns, flows and transactional mail from every tool, not one campaign. And once you cross it, Google treats you as a bulk sender from then on. For Shopify email marketing, that means the rules often apply sooner than store owners expect.

Key takeaways

  • The 5,000 figure counts messages to Gmail accounts from your domain in 24 hours, across every tool that sends as you.

  • Hitting it once is enough. Google says bulk sender status doesn't expire.

  • Microsoft applies a similar 5,000-a-day line for Outlook, Hotmail and Live, and Yahoo won't publish a number at all.

  • The requirements, authentication, one-click unsubscribe and a low spam rate, are good practice whatever your size.

Ask a Shopify store owner about the 5,000-email rule and you'll often hear "that doesn't apply to me, I don't send that much". It's an understandable view, and for a lot of growing stores it's wrong. It's one of the most misread parts of Shopify email marketing.

Where the 5,000 number comes from

Since February 2024, Gmail has enforced extra requirements on bulk senders: SPF and DKIM, a DMARC record, alignment with the From domain, one-click unsubscribe on marketing mail, and a spam rate kept under 0.10% and never reaching 0.30%. Yahoo introduced matching rules at the same time without naming a volume. Microsoft followed in May 2025 for Outlook.com, Hotmail and Live, at more than 5,000 messages a day.

Why "I don't send that much" is often wrong

Most people think in campaigns. Send one email to 3,000 subscribers and you feel safely under the limit. But the count covers every message from your domain to Gmail over 24 hours, not one campaign, and it includes more than marketing:

  • Campaigns and flows from Klaviyo. The obvious source, rarely the only one.

  • Shopify's own notifications. Order confirmations, shipping updates and other customer notifications sent from your domain.

  • Flows firing at the same time. Welcome series, post-purchase, browse and cart abandonment can all trigger on campaign day.

  • Other connected tools. Review requests, helpdesk replies and invoicing systems often send as your domain too.

On a busy day, or during a sale, a store with a list of 20,000 can pass 5,000 messages to Gmail before lunch. And because Google says bulk sender status doesn't expire, one big BFCM send is enough to put your domain under the bulk rules for good.

The real risk of getting this wrong

The danger is assuming you're exempt from rules that already apply. Brands that think they're too small often haven't prioritized DMARC or checked one-click unsubscribe across every tool, because it felt optional.

If your domain qualifies and those pieces aren't in place, you're exposed to exactly what the rules were built to enforce: delays, spam placement and, since late 2025, outright rejection of non-compliant mail.

What this means for your Shopify email marketing setup

Treat the requirements as standard practice now, whatever your current volume:

1.  Set up SPF, DKIM and DMARC properly now. Waiting until you're sure you've crossed 5,000 means waiting until you're already at risk.

2.  Audit everything sending as your domain. Shopify notifications, review platforms and support tools all count, and all need to authenticate.

3.  Check one-click unsubscribe everywhere. Every tool sending marketing mail as your domain needs it, not just Klaviyo.

4.  Plan for peaks. Sales, launches and new flows can push daily volume well past normal without warning.

Building it into your strategy

Good Shopify email marketing isn't only about strong campaigns and well-built flows. It also depends on the technical rules running underneath, the ones that decide whether those campaigns reach anyone at all. A great email on a shaky setup will underperform however good the content is.

Where MailMend fits

Meeting the bulk sender rules keeps your mail eligible to be accepted. MailMend works on the next decision: whether accepted mail lands in Gmail's Primary tab or Promotions. It's built for Klaviyo, the platform most Shopify brands send through, and is designed to improve how often your campaigns and flows land in Primary, with no changes to your copy or your list. Measure it in a native Klaviyo A/B test, MailMend on versus off.

Frequently asked questions

Does the 5,000 rule count all my emails or just Gmail ones?

Gmail counts messages sent to personal Gmail accounts from your domain in 24 hours. Microsoft's rule works the same way for Outlook, Hotmail and Live addresses.

If I go over once, am I a bulk sender forever?

Google says yes. Once a domain qualifies, bulk sender status doesn't expire.

Do Shopify's order emails count?

If they're sent from your domain to Gmail addresses, yes. Make sure they authenticate properly too.

Is any of this worth doing if I'm well under 5,000?

Yes. Good Shopify email marketing relies on solid authentication and an easy unsubscribe at any size, and you'll be ready when a big send pushes you over.
